“Personal Information” means any information that identifies or can be used to identify you, such as your name, email address, and account details. “Receipt Data” means the content of receipts, invoices, and related documents you upload or scan, including vendor names, tax identification numbers (TIN), dates, amounts, VAT details, and images. “Usage Data” means information about how you interact with the Service, such as log data, device information, and feature usage.
3. Information We Collect
We collect the following types of information:
- Account Information: When you register, we collect your email address, display name, password, and any optional profile information. If you sign in with Google, we receive the information you authorize Google to share with us.
- Receipt Data: When you scan, upload, or manually enter receipts, we collect the images and any extracted or entered data, including vendor details, TIN, receipt numbers, dates, totals, VAT, and line items.
- Payment Information: When you make a payment through M-PAiSA, we collect payment confirmation details, reference numbers, and transaction history. We do not store your M-PAiSA PIN or full mobile-money credentials.
- Usage Data: We collect information about your interactions with the Service, including IP address, browser type, device type, operating system, pages visited, and error logs. This helps us improve performance and security.
- Communications: If you contact us for support or feedback, we collect the content of your messages and any information you provide to help resolve your request.
4. How We Use Your Information
We use your information for the following purposes:
- To provide, maintain, and improve the Service, including OCR extraction, receipt storage, and report generation.
- To authenticate your account, secure your data, and prevent fraud or unauthorized access.
- To process payments, manage subscriptions, and respond to billing inquiries.
- To communicate with you about your account, updates, security alerts, and support requests.
- To analyze usage trends and improve user experience and product features.
- To comply with legal obligations, enforce our Terms and Conditions, and protect our rights.
5. Legal Basis for Processing
We process your information based on one or more of the following grounds: (a) performance of a contract with you, including providing the Service you subscribed to; (b) your consent, such as when you agree to this Privacy Policy or choose to share a file with another user; (c) our legitimate interests in operating, securing, and improving the Service; and (d) compliance with applicable laws and regulations in the Republic of Fiji.

We do not sell your Personal Information or Receipt Data. We only share information in the following circumstances:
- With Your Consent: When you choose to share a receipt or report with another user, we share only the data you authorize and only for the purpose you choose.
- Service Providers: We use trusted third-party providers for hosting, authentication, cloud storage, OCR, analytics, and payment processing. These providers are contractually bound to use your information only to perform services on our behalf and to protect it with appropriate security measures.
- Legal Compliance: We may disclose information if required by law, regulation, court order, or government request, or if we believe disclosure is necessary to protect our rights, property, safety, or the public.
- Business Transfers: If Viti Receipt Vault is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to the same privacy protections.
7. Data Storage and Security
We store your data in secure cloud infrastructure with encryption in transit and at rest. Access is restricted to authorized personnel and systems, and we use industry-standard measures such as firewalls, access controls, and secure authentication to protect against unauthorized access, alteration, or disclosure.
While we take data security seriously, no method of transmission over the internet or electronic storage is completely secure. You are responsible for keeping your account password confidential and for using strong, unique credentials.
8. Data Retention
We retain your account information and Receipt Data for as long as your account is active or as needed to provide the Service. If you delete your account or specific receipts, we will remove or anonymize the data within a reasonable time, except where we are required to retain it for legal, tax, or security purposes.
Backups may retain copies of deleted data for a limited period, but such data will not be restored to active systems unless required for legal or technical reasons.
9. Your Rights and Choices
Depending on applicable law, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your account or specific data, subject to legal retention requirements.
- Export your receipt data in available formats such as PDF, Excel, or Word.
- Withdraw consent for optional processing, such as marketing communications.
